Count the logins your team used for one Saturday shift. The roster came from one app. The timesheet went to payroll in another. The progress note sat in a shared drive, the invoice went out from Xero, and the worker’s screening check lived in a spreadsheet someone updates “when they get a chance”.
Five tools. One shift. And when an auditor asks you to prove that shift happened, was paid correctly and was claimed at the right price, you’ll be opening all five.
What is all-in-one NDIS software?
All-in-one NDIS software is a single platform that runs participant management, rostering, SCHADS payroll calculations, progress notes, incident reporting, worker compliance and NDIS claiming from one shared record. Instead of copying data between separate tools, each shift carries its own notes, pay calculation and claim, which is what auditors ask to see.
CareVisor is an all-in-one NDIS service provider platform built in Australia. This page shows what “all-in-one” should actually mean, follows one shift through the system, and covers pricing, provider size and the questions to ask before you choose.
What does all-in-one NDIS software replace?
Most providers with 10 or more staff run a stack that grew one problem at a time. Here’s what one platform takes over:
Job | Typical separate tool | In CareVisor |
|---|---|---|
Participant records | Spreadsheet or generic CRM | Participant profiles, plans, goals and service agreements |
Rostering | Rostering app | Rostering with a hard budget block |
Pay calculations | Payroll software plus manual fixes | SCHADS calculated in award order, logged per shift |
Notes and incidents | Shared drive, paper, text messages | Mobile app notes and incident reports linked to the shift |
Worker compliance | Spreadsheet of expiry dates | Live clearance status with expiry alerts |
Claiming | Accounting software or manual bulk upload | Right code, right price, checked before you submit |
Audit evidence | Folders built by hand the week before | Practice Standards mapping and a time-stamped audit trail |
The point isn’t fewer subscriptions. It’s that a shift stops being five records in five places that never quite agree.

One shift, start to finish: how an all-in-one platform works
Here’s a Saturday community access shift, 9am to 1pm, followed through CareVisor.
Rostering (Wednesday). The coordinator books the shift. CareVisor checks the participant’s remaining budget in that support category. If the shift would overspend it, the system won’t let it through. Not a warning. A block.
Compliance check. The worker’s screening and training status shows on the roster, with alerts before anything expires. See our guide to NDIS worker screening check requirements.
On shift (Saturday). The worker sees the shift and the participant’s support needs in the NDIS app for support workers, clocks in, and writes the progress note against that exact shift.
Pay. SCHADS rules apply in award order and the calculation is logged to the shift. A Level 2.1 permanent worker’s $36.22 base rate becomes $54.33 an hour at the 150% Saturday rate, and you can show exactly how.
Claim. The support item and price are checked before you submit, which cuts the rejected NDIS claims that come from wrong codes.
Audit (months later). An auditor picks this shift. Roster, note, pay calculation and claim open from one record, each with a time stamp.
That last step is the real test of any NDIS software for providers. If you need four exports to answer one question, it isn’t all-in-one.
What makes CareVisor different from other NDIS software
Plenty of platforms do rostering and invoicing. Three things are harder to find, and we haven’t found another platform that combines all three.
SCHADS formula audit trail, per shift
Payroll errors under the SCHADS Award usually come from the order rules are applied in, not the rates themselves. CareVisor logs the calculation for every shift, so you can prove how each pay run was worked out. More on why that matters in our SCHADS payroll audit guide.
Hard budget block at rostering
Most systems warn you when a participant’s plan is running low. Warnings get clicked past on busy days. CareVisor stops the shift from being rostered if it would take the participant over budget, so you find out on Wednesday, not when the claim fails.
Live audit-readiness score
Your records are mapped to the NDIS Practice Standards, so you can see gaps now instead of the week before your auditor arrives. Pair it with our NDIS audit checklist.
Is all-in-one NDIS software right for your provider size?
Provider type | What matters most | How CareVisor fits |
|---|---|---|
Sole trader or new provider | Low cost, simple notes and invoicing | Start on the smallest plan, add workers later without switching tools |
Small provider (5 to 30 staff) | Rostering, SCHADS pay, screening, claims | The core use case: one record per shift, unlimited staff |
Growing provider (30 to 100+ participants) | Budget control and audit evidence | Hard budget block and live audit-readiness score |
SIL provider | Sleepovers, ratios, 24/7 rosters | Sleepover and ratio rostering with documentation for SIL compliance |
Pros of all-in-one NDIS software
One record per shift, so roster, note, pay and claim always match.
Fewer manual handovers between tools, which is where most errors start.
Audit evidence builds as you work.
Cons to weigh
Switching takes planning. Follow our steps on how to switch NDIS software so nothing is lost.
If one module is weaker than your current specialist tool, you’ll feel it. Test your hardest workflow in the trial, not the easiest one.

How much does all-in-one NDIS software cost?
CareVisor pricing scales with participant numbers, not team size.
Professional: the full platform, starting under $100 a month for up to 4 participants. The cost per participant drops as you grow.
Premium: a higher tier on the same participant scale, adding integrations and hands-on support.
Custom: for providers with 400 or more participants.
Every plan includes unlimited staff, the iOS and Android app and Australian-hosted data. See the exact figure for your participant count on our NDIS software pricing page.
Test it in 7 days with your real workflow
A demo shows you the easy path. A trial shows you your path. In the 7-day free trial you get a fully loaded test environment with sample data and no credit card. Use it to run three checks:
Roster a shift that would overspend a participant’s budget. Does it stop you?
Roster a Sunday or sleepover shift. Can you see how the pay was calculated?
Pick any shift and time how long it takes to show its note, pay and claim together.

Frequently asked questions
Can one software handle scheduling, billing and reporting for NDIS?
Yes. All-in-one NDIS software handles rostering, claiming, payroll calculations and compliance reporting from one record. In CareVisor, each shift carries its note, pay calculation and claim, so reports draw from the same data.
What is the best all-in-one NDIS software for small providers?
The best option is one that grows with you without a switch: priced by participants, unlimited staff, and rostering, SCHADS and claiming in one place. Test it with your hardest shift type before you commit.
What features should NDIS software have for sole traders?
At minimum: participant records, service agreements, progress notes, invoicing and claiming. If you plan to hire, add rostering, worker screening tracking and SCHADS pay rules now, so you don’t have to change systems later.
How much does NDIS software cost for independent providers?
CareVisor starts under $100 a month for up to 4 participants, with the per-participant cost falling as you grow. Watch for platforms that charge per staff member, because costs rise every time you hire.
Can NDIS software integrate with accounting systems?
Many can. On CareVisor, integrations are included on the Premium plan. Before you sign with any vendor, ask which accounting and payroll systems connect and what data moves between them.
Is cloud-based NDIS software better than desktop software?
For most providers, yes. Support workers need shift details and notes on their phones in the community, and cloud software keeps one live record for the whole team. Check where the data is hosted. CareVisor hosts data in Australia.
Can I manage multiple support workers with NDIS software?
Yes. CareVisor includes unlimited staff on every plan, so adding your second or twentieth worker doesn’t change your price. Each worker sees only their own shifts in the app.
Run your NDIS business from one record
It sounds like you’re tired of being the person who holds five systems together, and of wondering which one is wrong when the numbers don’t match. That’s the problem one platform solves. Start your 7-day free trial and roster your hardest shift, or talk to our team if you want help working out whether CareVisor fits your setup.
